Terms of use
Last updated 6 November 2026 (Business plan added).
These terms are the agreement between you and pocketpass.nz when you create an account. By ticking the box when you sign up, or by using an account, you agree to them. The main rule is simple: only make passes you are entitled to issue.
Who we are
pocketpass.nz is run by Bill Walker, a sole trader in Christchurch, New Zealand (NZBN 9429054064300). Contact: info@pocketpass.nz. In these terms “we” and “us” means Bill Walker trading as pocketpass.nz, and “you” means the person or organisation that holds the account.
What you can make
- Passes for yourself, or for a club, school, business or group you belong to and are allowed to issue cards for.
- Use only names, logos and artwork that you own or have permission to use.
What you must not make
- Anything that pretends to come from someone else: a bank, a payment card, a government agency, an airline or transport ticket, an event ticket, a gift card or voucher, or any business you do not represent.
- Passes used to trick, scam or mislead people, or that send them to links, phone numbers or email addresses to do so.
- Identity documents of any kind.
- Anything unlawful, hateful or harassing.
Your content and your members’ details
- You keep ownership of everything you upload: your logos, artwork, templates and spreadsheets. You give us permission to store and use them only to make, update and deliver your passes, and to run the service.
- When you upload people’s details (for example a membership list), you confirm that you are allowed to give them to us for this purpose, and that you have told those people, as the Privacy Act 2020 requires, that their details are used to make their digital card. We hold and use those details on your behalf, as described in our privacy policy.
- If you ask us to email pass links, you confirm that the people on your list expect to hear from you about their card.
Free accounts
A free account makes one pass, so you can try everything before you pay. Free passes show that they were made with a free pocketpass.nz account, and they cannot contain web links, email addresses or phone numbers. We get notified when a free pass is made or changed.
Buying passes (Not-for-profit and Business plans)
You can buy passes in advance as a yearly subscription on one of two plans: Not-for-profit ($1 per pass per year, for organisations whose application we have approved) or Business ($2 per pass per year, no application needed, at least 10 passes). Both work the same way and include the same features. Prices are in New Zealand dollars; we are not registered for GST, so no GST is charged. Payments are handled by Stripe; we never see your card details.
- Buying in advance. You choose how many passes to buy and pay for a year up front. You can issue passes up to that number. A pass you delete frees its place for someone else.
- Buying more during the year. When you buy more, your card is charged straight away for the part of the year that is left.
- Renewal. Your subscription renews automatically each year on the same date and your card is charged. We email you at least 30 days before each renewal, and you can choose on your Settings page how many passes to renew (all of them, only those in use, or a number in between). If you do not choose, we renew the passes in use on the day. A Business subscription always renews at least 10 passes.
- Cancelling. You can cancel at any time under Manage billing on your Settings page. Cancelling stops the next renewal; your passes keep working until the end of the year you have paid for. After that your account goes back to the free limits: passes already issued keep working, but you cannot issue more.
- Refunds. We do not refund unused passes or part-years, except where the law requires it or where we close your account without you having broken these terms (then we refund the unused part of the year).
- Failed payments. If a payment fails, Stripe tries again over the following days and we email you so you can update your card. If it still cannot be paid, the subscription ends and the free limits apply.
- Price changes. We will email you at least 30 days before a new price applies to you. It takes effect from your next renewal, so you can cancel before then if you do not want to continue.
Suspending or closing an account
If we reasonably believe an account has broken these terms (for example a fake or misleading pass), we can suspend it, withdraw its passes or close it. Where the risk to other people allows, we will tell you first and give you a chance to fix the problem. A withdrawn pass shows as void in Apple Wallet and inactive in Google Wallet, and its link stops working. We may pass information to the police or to the organisation being impersonated.
You can close your account at any time by emailing info@pocketpass.nz from the address you signed up with. We then delete your templates, passes and members’ details as our privacy policy describes, and your pass links stop working.
The service and your rights
We do our best to keep pocketpass.nz running and your data safe, but we cannot promise it will always be available or free of faults. We are not responsible for how passes made by account holders are used.
Nothing in these terms limits any rights you have under the Consumer Guarantees Act 1993, the Fair Trading Act 1986 or any other law that cannot be excluded. If you use pocketpass.nz for the purposes of a business (including a club, school or other organisation acquiring it to run its activities), you agree that the Consumer Guarantees Act does not apply, as far as the law allows.
As far as the law allows, our total liability to you is limited to the amount you paid us in the 12 months before the problem arose.
Changes to these terms
We may update these terms. If a change matters to you (for example how billing works), we will email account holders at least 30 days before it applies. The date at the top shows when they last changed.
New Zealand law
These terms are governed by New Zealand law, and New Zealand courts can decide any dispute about them. Please contact us first: most things can be sorted out by email.
Report a problem
If you see a pass that looks fake or misleading, email info@pocketpass.nz with the pass link. We will look into it quickly.
